DCRM(C) Editorial Meeting

New York City, NY

April 21-22, 2012

 

Agenda: Begin review of the appendices. We will address them in order, beginning with B (Collection-Level Records) and working through them in order, skipping over G (Early Letter Forms and Symbols) and H (Individual and Special Issues of Serials) for now.

 

Appendix B:

-  add clarification about collections issues as such and a collection of material

-  add “See Appendix Q” for issued sets/serials

-  add sentence about atlas factices

-  have to add a section on pre-cataloging decisions to Introduction and refer to App. Q and N (atlas factices)

 

     B1.3. replace mention of BIBCO Core Record Standard with new BIBCO SR for archival collections

 

     B1.4. no need to mention, as mentioned in previous paragraph

 

     B2.2. add additional phrasing to first bullet “personal author” or creator (e.g. cartographers, surveyors, etc.)

 

     B2.3. make changes suggested by Nancy

 

     B3.2.3. change “shelved” to “filed”

 

     B4.

     240: provide Ortelius Theatrum orbis terrarum example

 

     300 field: optionally does mean having multiple 300 fields; will add examples to illustrate

will add examples for other physical details

 

     351: remove “n.d.” from examples; use AACR2 abbreviations in examples

 

     520: make correction in first example (included to include); make correction in second example (Rochambeau family); wordsmith examples

 

     505: what do they mean by “date of creation”? Discuss with whole group. What does “routine bibliographic indicia” mean? does it apply to cartographic material? can we delete it? not a good example for 505; find another?

 

     7xx: many problems with paragraph; Manon will work out rephrasing to include mention of cartographers, etc. and remove mention of 6xx subject.

 

     B5.1. will make changes according to Nancy’s suggestions

     - change 245 wording from “or in subfield” to “and/or in subfield”

     - add an example to 300 for collection not bound; close-up first example for bound

 

Appendix C

 

Delete altogether.

 

Appendix D

We will follow B’s original structure and wording rather than try to adapt G’s revised and expanded App. D, making usual changes for C (DCRM(B) to DCRM(C); adding “cartographic” where appropriate

 

Add hand-colored mention in third bullet under D3.2.

 

Add “cartographers” to list of special files listing in D3.3.

 

Appendix E

 

Manon will work in rephrasing the bullets under E1.2. to include issues of changes to plates, coloring, and dissection/mounting [we may need to discuss this further at Annual].

 

Appendix F

 

Some changes from original text not tracked (Todd’s fault).

 

Make the necessary changes for C (publication to material; “title page” to chief source of information).

 

Use relevant examples from relevant areas, if applicable.

 

Remove 1G1-1G8.

 

7B11. Nancy will provide an example.

 

Add section for 7B16, contents

 

Date of Situation

This appendix may have to be discussed at Annual, as there were quite a number questions, concerns we had overall.

 

Remove contents listing at head of appendix; remove sub numbering.

 

Condense first two paragraphs into one.

 

Refine definition; rephrase this whole section.

 

Add instructions for recording date of situation in a note.

 

Mention use of 045 MARC field?

 

“Marginal data”: unclear exactly what marginal data to include (datum information?)

 

Find various examples of situation dates (events and non-events)

 

Todd will make PDFs of articles mentioned at end of this appendix, in addition to article by Kathy Weimer, “How to date maps.”

 

Maps in Books

 

Todd will adapt G’s text on their Appendix K “Illustrations in Books and Serials” with C’s changes, as the current draft, taken verbatim from AACR2/CM does not work.

 

Maps in Books will become Appendix L; the current appendix L, Manuscripts, will be moved to the end and possibly not included at all (same as the current Appendix O, Globes and Realia; a decision to not include either of these appendices will have to be decided at Annual)

 

Source of Map

 

Will become Appendix M.

 

Remove third paragraph under scope.

 

Mention the use of bibliographies in determining “From” and “Appears in.”

 

Under From, add sentence about making a note to identify source of map; Manon will revise to make more DCRM. Add as final sentence, “In case of doubt, do not use From ...” Add sentence on providing added entries based on From note. Provide three examples.

 

Revise last sentence under “Appears in” to read “Always cite the earliest edition that contains the plate, if known” and provide an example. Provide an example that elucidates the final concluding section “Anonymous maps from serials, etc” and remove this whole section.

 

Discussions/Decisions to be made at Annual:

 

Revisit example assignments.

 

Remove appendices Manuscripts and Globes and Realia?
