Agenda

  1. Discussion Papers: Finalize the decisions made concerning the Discussion Papers (see Manon’s e-mail of 9/20 for the changes incorporated in the rules based on our previous discussions of the DPs 3 and 4).
  2. Area 3: Review and finalize Nancy’s updated draft for Area 3.
  3. Area 4: Review and bring to table any questions, etc., for Area 4.
  4. Area 5: Begin discussion of Area 5, if time permits.
  5. Review any newly posted examples for all areas, if time permits (or perhaps we can review the posted examples as we move through specific areas).

 

There was a brief discussion of the revolving chair, as Seanna was slated to take over after Todd. Manon was to take over after Seanna and was willing to move up to cover Seanna’s time, but it was felt there ought to be a group discussion on this issue when we meet in San Diego.

 

In relation to Seanna’s departure, we should discuss who will take over the areas previously assigned to Seanna.

 

Discussion Paper #1 (and rule 1D2.3. paragraph concerning atlas contents notes)

           

There was a long discussion about contents notes for atlases and the phrasing used in 1D2.3. As the rule states now, one is to make a general contents note rather than a formal note if a formal statement of contents is omitted from the area 1 transcription and is transcribed in the note area.  Formal contents notes are to be made only from the individual map titles, if considered important.

 

In CM, the relevant application in Area 7 for early cartographic material (under 7B18. Contents) states to transcribe the t.o.c. from the t.p. if it is presented formally and has not been transcribed as part of another area. Otherwise, take the titles from the individual maps.

 

We felt neither of the rules as given (1D2.3 and CM 7B18. Application) works well. Manon will delete the text that had been added to 1D2.3 in the master draft (in response to our discussion of DP1 #6 at ALA Annual 2010), restoring it to the original DCRM(B) text

 

Additionally, Manon and Todd will work on an additional discussion paper concerning the options in making contents notes for atlases, focusing on the issue of formal contents notes more broadly (rather than as part of a discussion of IJUV transcription. The DP should look at 1D2.3 AND the appropriate rule in area 7 AND the appropriate section of Appendix F (Title Access Points). The DP should take both DCRM(B) and CM into account and lay out various possible scenarios.

 

Area 3

 

  1. References to serials throughout Area 3 will be left in until Appendix H is more fully formed. We will delete the "Prescribed punctuation" rule: "Precede numbering, etc., related to serials by a period-space-dash-space" because it was already covered by "Precede each repetition of this area by a period-space-dash-space."

 

  1. Manon will add sectional headings to clarify the organization of Area 3 (similar to what is found in other DCRM modules).

 

  1. 3A3 and 3A4 will be rewritten with new numbering and new heading (Form and order of information). 3A3 will be beefed-up to emphasize Area 3 is not a transcription area. An additional sentence will be added in 3A4 to state that mathematical details can be repeated. Fuller examples will be included for both rules to help illustrate them.

 

  1. It was decided the phrase “language and script of cataloging agency” should be preferred over references to English in most of DCRM(C), although we should look closely at every instance in other areas to ensure this is the case. Choosing the former would be a deviation from CM.

 

     (Manon has looked more closely at this issue and found that Introduction V in DCRM(B) states "DCRM(B) is written for an English-speaking context. Cataloging agencies preparing descriptions in the context of a different language should replace instructions and guidelines prescribing or implying the use of English into their preferred language (see 4B3-4, 4B8-12, 4E, and areas 5 and 7)." Thus, there is no need to change the phrasing.)

 

  1. It was felt Nancy should work on Appendix J (Guidelines to Determine Scale and Coordinates) as there is a close connection to Area 3 for which she is responsible. 

 

  1. Related to 4 above, Larry agreed to take over Appendix O (Globes and Realia) with the understanding he would get ample assistance from others when the times comes.

 

  1. 3B1.2. and 3B1.3. Nancy pointed out she added two phrases not found in CM: “defined linear distance” (3B1.2.) and “Scale not determined” (3B1.3.). We all agreed both phrases were appropriate and acceptable, especially “Scale not determined” when one could not feasibly determine a scale. CM currently does not have this phrase as an option; one would instead use “Scale not given” which would be misleading if a scale was indeed on the piece, but could not be determined.

 

  1. 3B1.4. An additional sentence concerning supplying scales based on reference sources (with an example) will be added. The final paragraph will be deleted and something in Area 7 will be added if any good examples are found.

 

  1. 3B5. will be rewritten to match CM 3B6, although there was quite a lot of confusion on non-linear scales. There is a lot of instructions on linear scales, but little on non-linear. Nancy will contact some map catalogers to obtain more information on non-linear scales and using “Scale not given” for imaginary maps with scale statements, even if they do not conform to real geography.

 

  1. 3B6. An example of an exaggeration ratio will be added.

 

  1. 3C. Statement of projection. This whole section will be rewritten, as it currently is very confusing. A rough outline of the new structure is:
